Clinic System Care & Maintenance Guide
System Performance Recommendations
To ensure the best performance and compatibility:
All clinic computers should run Windows 11
Server systems should run Windows 11 or Server 2022/Newer
Maintain Microsoft Defender security software on the server computer.
Ensure a stable internet strong enough for the clinic's needs/volume.
Routine Maintenance Schedule
Weekly (Recommended – Wednesdays)
Check for Windows Updates
(Microsoft typically releases updates on Tuesdays)Restart computers after updates are installed
Bi-Weekly (Optional but Recommended)
Restart all computers to:
Clear temporary files
Improve overall performance
Prevent system slowdowns
Monthly
Reboot the modem and router
(Helps prevent network interruptions and connectivity issues)
If You Experience Slowness:
Before contacting support, perform a Full System Reboot (instructions below).
This resolves many common performance and connectivity issues.
Full System Reboot Instructions
Step 1: Check for Windows Updates (ALL PCs)
Click the Windows Search bar
Type: Check for Updates
Select Check for Updates
Click the "Check for Updates" button
If updates appear:
Allow them to fully download and install
Restart if prompted
Step 2: Prepare for Shutdown
Ensure all users are logged out of the software/system
Step 3: Shutdown Order (VERY IMPORTANT)
Shut down all Client Computers (Non-Server PCs)
Shut down the Server
Unplug the Modem/Router
Wait 20 seconds
Step 4: Startup Order (VERY IMPORTANT)
Plug in and power on the Modem/Router
Wait until the internet is fully restored
Turn on the Server
Allow it to fully boot up
Turn on all Client Computers
Additional Best Practices (Important)
Data Protection
Ensure the server is not set to hibernate and remains on at all times to ensure backups are collected (Monitors can go to sleep)
Security
Do not ignore security alerts or failed updates
General Performance Tips
Avoid leaving computers running for long periods without rebooting
Close unused programs to reduce strain on systems
Ensure users are logging out of CoAction when finished on one PC before logging in on another pc to access CoAction
Ensure CoAction users are logging out before leaving the clinic.
Report recurring slowness or errors to support promptly
