Adding a New CPT code to an Existing Fee Schedule
This article will walk you through the process of adding a New CPT code you are using to an Existing Fee Schedule attached to a patient insurance policy.
To ADD a New CPT code to your Existing Fee Schedule, please follow these instructions below, after you have created your new CPT Code buttons.
Go to Admin in your software toolbar
Select Fee Schedule
Make sure you select the EXACT Fee Schedule you are needing to work on from the drop-downs available.
First select "Payer" dropdown and choose the correct payer from the list
Now select the correct Fee Schedule from the Fee Schedule Drop-down. This is extremely important as 1 payer may have several different fee schedules created.
If you are unsure, you can go to the Patients file, Insurance Tab, Select Policy that covers charges, and look to see what Fee Schedule is attached
Once the correct Fee Schedule is displaying on your screen, select ADD CPT button
In the add CPT code window that comes up, you can search the CPT code library by CPT code or Description. Make sure to select the EXACT one used to create the CPT code button.
If you select the wrong one, you will get an error "CPT code not associated with the price list" when trying to apply the charge.
Scroll to the bottom of your Fee Schedule to find the newly added code.
Add in all the necessary info for your new CPT code, remembering to backdate the Start Date for your CPT code if necessary and SAVE
(The Start Date selected should be, BEFORE the first date of service you are wanting to apply the CPT code to)
KEEP IN MIND
Fee Schedules are for insurance allowed amounts. If the amount is different then what you charge for the service/supplement, an automatic write off will be performed.
Fee Schedule amounts should NEVER be higher then what you charge
If there is not an allowed amount for a service, such as a supplement, make sure the amount in Fee Schedule is the full amount for the charge.
