TIPS:
- Record and Publish Button is Available when Accessing the Appointment from the Providers Dashboard ONLY the first time the Appointment is accessed.
- Record and Publish Button is Available when Accessing the Appointment from the Appointment Dashboard ANYTIME after the appointment is moved to Checked In/Being Treated & Completed Areas.
The Record and Publish button is found within the appointment screen at the bottom right side of the page.
Using Record and Publish:
The Record and Publish button, if clicked on in an appointment, will timestamp your Soap Notes at the date/time that the button is clicked, for insurance purposes.
The Record and publish button can ONLY be pressed one time. It is very important that it is not pressed until your notes are where you would like them to be 100%. You will be able to add notes in after but, you cannot add a new timestamp and the additional notes added to the visit would be left off when pulling the notes out of the appointment.
The Record and publish area is intended for Medicare billing or any other institution that is requiring a locked-in timestamp on when soap notes were completed. The Record and Publish button is not required for any other situation, as the software is monitoring when the notes were last edited as well.
Please note: If your soap notes are carrying over from visit to visit, each visit would need its own timestamp.
Record and Publish with Documentation Template:
If you need to generate your soap notes and send them off, you can go to the patient's file > Documents tab > and create a document there that can print the patient's soap notes for that visit. As long as your template is created to display the "Publish Date" it will show when those notes were published.
If you have not set up your documentation template, you will want to go to the Administration area of your database, Document Template button, create your template, and make sure the "Publish Date" (timestamp) data field is added to your template in the reports header area. Once created, you will be able to use this document template in all patient's files, to be able to print their soap notes. Please refer to THIS ARTICLE to see a more in-depth walk-through on how to create a document template.
