Scheduling A Patient Appointment
Scheduling a patient can be done in two areas of the software. The first way we will discuss is within the patient's appointment and the second way is within the clinics appointment book.
Scheduling within a patient's file
To schedule the patient, Click on the “Appointments” tab within the patient file and Select "New"
- Make sure the correct provider is selected in the drop-down
- Select Date of appointment
- Select Reason of Visit (ROV) for the appointment
- Select time slot
- Save
Your scheduled appointment will now show in the scheduled appointment log.
Scheduling within the Appointment Book
You also have the ability to schedule patients by going to "Appointments" within your database toolbar.
Select "Schedule Button or Appointment book tab as both areas take you to the appointment book.
Select the Date in the calendar and then Double click the appropriate time slot that you want to schedule the first patient.
Double click the correct patient within the Rolodex. Select Case for patient.
If the patient does not have a case, you will have to select "New Case" and create.
Select Reason of Visit
You are also able to indicate that this appointment is a walk in by selecting the provided box. Walk ins are also tracked on the Appointment Results Report.
Making a Recurring appointment
If you have a patient that has a consistent schedule.
For example: comes in every Mon, Wed, Friday at 5pm.
You can choose the "Recurrence" Button to schedule those appointments.
If a patient needs to schedule Mon and Wed at 5pm but, Tues and Thurs at noon, you will schedule like minded appointments together.
Support NEVER recommends that recurrences are made for an extended period of time as they have to be rescheduled one by one if a patient wants to change their time slot or deleted and redone adding all deleted appointments to the patient's appointment history. See below for additional information.
Select Recurrence Button
Select Options for how should they recur
Once all settings have been entered Hit OK
Confirm Everything was entered correctly and hit Save and Close
Then your appointment(s) will appear in the the time slots selected
ADDITIONAL TIPS:
Scheduling an additional patient in an already filled time slot
Double click the open area of the appointment book
Walk through the same steps to schedule and they will be listed next to the other scheduled appt.
HOW TO REMOVE APPOINTMENT RECURRENCE
There is not an automatic removal of the appointment recurrence.
If you need to remove or reschedule an appointment recurrence
you will have to reschedule one by one or you can delete
all appointments and then go back in and redo the recurrence.
To delete multiple appointments for a patient-go to the patient file
and click on the Appointments tab, you will see all pending appointments
on top, highlight multiple appointments by holding down Control key on your
keyboard and then click delete.
Once you are finished select "Save and Close"
