Appointment Dashboard
The Appointment Dashboard is designed for the front desk to easily track the flow of patients in the office.
The flow is designed to move the patients from being scheduled for the day to completed.
The patient flow also works with the "Average Visit Time" Report to see how long it takes a patient to come in for their scheduled appointment and check out.
How patient flow works within Appointment Dashboard
All patients scheduled will display in the Scheduled Column
Once a patient checks in via the front desk or Self Check in, they move to the arrived/waiting column indicating they are in the waiting room.
Double click the patient to move them from Arrived and Waiting to Checked-in Being treated, CoAction will want you to confirm the room you are sending the patient to and the provider they are seeing and hit SAVE.
You are able to take payment on this screen as well if the patient pays before they are seen.
Once the patient is in the Being Treated column, the appointment will remain black
Once the provider opens the appointment to put in notes, charges, and ICD codes for the appointment, it will turn GREEN on the appointment dashboard. This visual indicator shows the doc is currently treating that particular patient.
The appointment will then turn BLUE in the Appointment Dashboard to notify the front desk that the provider has closed out of the appointment and can now check out the patient.
When the front desk double clicks the appointment to open it, they then have the option to click Check Out or to take Payment. You can also select the bulk write-off to apply a write-off for the day and take payment.
Please DO NOT ever select the CANCEL Check-out button if your office is taking payments within the appointment screen. ALWAYS select Check Out.
Once Check Out is selected, appointments will move to the completed column.
**You might notice when looking at your Appointment Book, throughout the day while moving patients along in your Appointment Dashboard: Scheduled>Arrived/Waiting>Checked In>Completed
that there are colored dots and a red arrow displayed to the left of patient names. These colors represent where they are within the system on any given day:
- Blue Dot = Scheduled
- Green Dot = Arrived/Waiting
- Gray Dot = Checked In (doc has not initiated appt)
- Yellow Dot = Checked In/Being Treated: Patient seen by a provider
- Red Arrow = Completed
