Action Items
Action Items is a new feature for our clients on the CoAction Communicate and Marketing platforms. If you are not currently on one of those platforms but, would like to learn more, please reach out to support.
The Action Items area is housed within the CoAction Toolbar.
This area displays information that needs to be addressed by the clinic/user. There are items coded into this area and a To-Do List designed to keep track of anything needing to be addressed.
When you first select Action Items within the toolbar you will see a screen display similar to this one, showing you what needs immediate attention.
Trending Data
These are all of the items that will trigger action items coming from data within the software. When Action Items is triggered, you may receive a sound notification upon login and Action Items will display in Red:
- If the current average patient star rating of the past 7 days is less than the previous 7 days before that
- If the current average patient star rating of the past 7 days is less than 3
- If the current uncollected percentage of the past 6 months is over 10%
- If there are any to-do items currently due
Uncollected percentage
The percentage displayed is coming from the AR Report - How much you have that needs to be collected and how much of it is still uncollected. You can click on the Graph to see a visual representation of how Providers Collections are performing. If you have multiple providers, each provider is shown in a diff color on the graph.
To-Do List
This area is designed to help your clinic keep track of anything needing to be addressed. Here, you can create a to do list and assign items to different users.
Lets get started:
NOTE: If this is the first time you are using this feature, you will need to click the star button and back to the task button **
Once the feature is being used, you will have the ability to enter a new task by simply selecting the task icon within the action items toolbar.

Every area within the To-Do list will require a double-click to edit
Adding a New "To-Do" task
- Click on the area that states "New to-do list" to enter the action that needs to take place
- Double click the Start Date area and Due Date area to select the appropriate date from the calendar.
- Double click the User area to assign a user to the task. Assigning a user will all users to see the task and who is expected to complete it. A user does not need to be attached for the item to save.
- Hit Save. Make sure you hit Save 2xs to save. You will know it's saved properly when you see this notice at the top of the screen.
Once saved it will be listed within the list until the task is completed.
Completing an item listed on the to-do list
- Double click the completed Date within the specific tasks line item
- Chose the date the task was completed
- Hit Save. Don't forget to hit save 2 x's ;)
Once you hit save, it will remove the task from the list of tasks needing to be performed.
Reviewing previously performed Tasks
If you need to reference items that were performed and completed in the past, go to Reports>Completed Action Items
You can choose the date range limiting the number of items you are displaying. The date range filters for the "Completed Date".
Deleting a Task on the To-Do List
Deleting a task should only take place if it was entered in error. You will be required to hit Delete 2x's to remove the item from the list. There is NO report showing which tasks were deleted. To delete, simply press the delete button to the right of the task
Tracking Patient Ratings
This area will show a monthly date range of data to go to change the monthly view, you will utilize the arrows next to the monthly range.
It will show all patient's who submitted a review, when their appt was, the star rating provided, note if it was a low review, their contact info, and the provider they saw. This provides data to the clinic for a staff member to reach out in an attempt to turn the low review into a high review.
There is also a graph to see how your reviews are trending from month to month.
This area is tracking the Star Ratings provided by Patients.
How to Turn off Action Items Alert Sound
Action items will still display in Red, however you can remove the Sound Alert if Action Items is triggered. This is completed per user as this is a customized setting. Go to Administration>Users>Highlight your Username in the list>Hit Privileges Tab and Uncheck "Play SMS Reply Sound(if SMS Reply Alert is set)>Save:
